At Mlengu Tours, we understand that travel plans can change. This Cancellation & Refund Policy outlines the terms that apply if you need to cancel or modify your booking. We encourage all guests to read this policy carefully before confirming a reservation.
A booking is considered confirmed once the required deposit or full payment has been received and a confirmation has been issued by Mlengu Tours.
If you wish to cancel your booking, you must notify Mlengu Tours in writing by email. The date we receive your cancellation request will be used to calculate any applicable cancellation charges.
Refunds are subject to the timing of your cancellation and any non-refundable costs already paid to hotels, lodges, airlines, national parks, or other service providers.
The following cancellation charges generally apply:
More than 60 days before departure: Deposit may be refunded, less any non-refundable third-party costs and administrative fees.
30 to 60 days before departure: Up to 50% of the total tour cost may be charged.
15 to 29 days before departure: Up to 75% of the total tour cost may be charged.
Less than 15 days before departure or failure to arrive: No refund will normally be available.
Specific tours or special offers may have different cancellation conditions, which will be communicated at the time of booking.
Where a refund is approved, it will be processed using the original payment method whenever possible.
Please allow up to 14 business days for approved refunds to be processed. Processing times may vary depending on your payment provider or financial institution.
Certain costs cannot be refunded once they have been paid to third parties. These may include:
National park entry fees
Government taxes and permits
Visa fees
Flight tickets
Travel insurance
Hotel or lodge reservations with non-refundable conditions
Special permits and activities booked on your behalf
If you need to change your travel dates, itinerary, accommodation, or other services, please contact us as soon as possible.
We will do our best to accommodate your request; however, changes are subject to availability and may result in additional charges or price adjustments.
In the unlikely event that Mlengu Tours must cancel a tour due to circumstances beyond our control, including severe weather, natural disasters, government restrictions, safety concerns, or other force majeure events, we will offer one of the following options where possible:
Reschedule your tour to a future date.
Apply your payment as credit toward another tour.
Provide a refund for services not yet delivered, less any unrecoverable third-party costs.
Mlengu Tours is not responsible for additional expenses incurred by travelers, including flights, accommodation booked independently, visas, or personal travel arrangements.
We strongly recommend that every traveler purchases comprehensive travel insurance before the start of their trip.
Travel insurance should provide coverage for:
Trip cancellation
Medical expenses
Emergency evacuation
Lost or delayed baggage
Travel delays
Personal liability
Travel insurance can help protect you from unexpected situations that are outside the control of Mlengu Tours.
Mlengu Tours shall not be held responsible for cancellations, delays, or changes caused by circumstances beyond our reasonable control. These may include but are not limited to:
Natural disasters
Floods
Wildfires
Epidemics or pandemics
Government actions
Civil unrest
Airline disruptions
Road closures
Extreme weather conditions
